Privacy Policy

Effective August 3, 2026

This Privacy Policy explains how First Baptist Church of Hernando Beach ("the Church," "we," "us") handles information within ChurchBooks, an internal application the Church uses to manage its financial records and contributions. ChurchBooks connects to the Church's QuickBooks Online account through Intuit's authorized API. It is a private tool used only by authorized Church staff and volunteers; it is not offered to the public.

Information We Access and Collect

(a) Financial and accounting data from the Church's QuickBooks Online company — transactions, accounts, deposits, classes/funds, and reports — accessed through Intuit's API using secure OAuth authorization. (b) Contribution and giving records, which may include donor names and gift amounts, from the Church's offering records and its Tithe.ly reports. (c) Bank statements and related financial documents provided by Church staff.

How We Use Information

Solely for the Church's internal bookkeeping — recording contributions, matching and reconciling transactions against bank records, preparing fund-based financial statements, and producing giving reports for Church leadership. We do not use this information for advertising or marketing.

How We Share Information

We do not sell, rent, or trade this information. Access is limited to authorized Church personnel responsible for the Church's finances. We rely on QuickBooks Online (Intuit) as the system of record and on trusted service providers, such as secure database hosting, solely to operate the tool. Our use and transfer of information received from QuickBooks APIs adheres to the Intuit Developer Terms of Service, including its limited-use requirements.

Data Storage and Security

Information is stored in a secured, access-controlled database and is encrypted in transit and at rest. Access credentials and authorization tokens are stored securely and never shared. Access is restricted to authorized personnel.

Data Retention

We retain information only as long as needed for the Church's bookkeeping and record-keeping obligations, including preparing annual contribution statements, after which it is securely deleted.

Your Choices and Disconnecting

The Church may disconnect ChurchBooks from QuickBooks Online at any time from within QuickBooks Online (Settings > Apps > Disconnect) or by contacting the Church office. Disconnecting immediately ends the app's access to QuickBooks data.

Children's Privacy

ChurchBooks is an internal financial tool and is not directed to children.

Changes to This Policy

We may update this Privacy Policy from time to time. The effective date above reflects the latest version.
